The problem
A workforce that never stops moving
StraitNZ operates across the North and South Islands of New Zealand, running linehaul trucks, freight forwarding depots, and the Cook Strait crossing. With workers logging hours across multiple sites, sometimes mid-journey, the company's paper-based time and leave process was struggling to keep pace.
Manual data entry
Admin staff transcribed hours from paper sheets, with no easy way to verify against logbook records.

TimeFiler was first rolled out to StraitNZ's linehaul division, then extended to freight forwarding when the HR Manager took over the responsibility. The rollout was deliberately fast, a week's notice, and a clear message from management.

TimeFiler integrated directly with StraitNZ's IMS payroll system (via Payroll Plus), meaning timesheets flowed straight through to payroll with no re-keying. Drivers could submit from their phone - whether parked up at a depot or on the go. The mobile-first experience removed the last excuse for late submissions.
Allowances like overnight and meal entitlements are now entered directly by workers in TimeFiler, and every edit carries a timestamp and user record - so the payroll team can see at a glance whether a manager submitted on behalf of a worker or the worker did it themselves.

- Payroll time was cut down immensely. With timesheet payments flowing directly into IMS, the payroll team no longer re-enters data manually, they review, approve, and commit.
- Logbook compliance made easy. Drivers' submitted hours can be compared directly against their EROAD records, giving the team a fast cross-check against the 14-hour day and 70-hour week rules under the land transport regulations.
- Leave liability is now visible in real time. Managers can see who has accrued leave and nudge workers to take it, protecting both the employee's wellbeing and the business's balance sheet.
- Full transparency on every submission. The edit history shows exactly who submitted or changed a timesheet, creating accountability across the workforce without any extra admin work.
- Even the least tech-savvy workers are on board. TimeFiler's simple interface won over drivers who had never used digital tools before. In a post-rollout survey, multiple workers identified themselves unprompted as proud users of the system.
