Dominion Constructors is a family-owned construction company with over fifty years of experience in commercial, residential and concrete constructions, as well as interiors, building conversions and refurbishments. Completing projects from streetscapes to prisons and luxury apartments, Dominion Constructors has a team of 300 full-time employees and labour only contractors ranging from 50 to 300 - enough to keep the payroll department busy with manual data entry.
Given the complexities of multiple timesheets and payment types, Dominion Constructors knew they needed a better system for their employees to do job costing, log time and extract data into the payroll system - a way that would reduce errors, increase efficiency and reduce the chance of mistakes, as well as a self service for leave applications and entitlements.

The challenge
Back in the bad old days of payroll, admins and payroll managers relied solely on manual data entry, furiously typing eight hours a day to keep up with data entry demands. An entire team was needed just to input data, and by the end of the day, as Payroll Manager Lili Welch recollects, your arms were dead just from repetitive, non-stop typing.
Today however, software automation takes care of all the manual data entry without relying on paper or Excel-based timesheets. This was just the solution Dominion Constructors was looking to take on board eight years ago when they implemented TimeFiler.
The solution
In the old system, a handwritten or mislabelled timesheet might have resulted in incorrect payments or even the incorrect person paid. A lot of time and resources were poured into chasing up with people to complete their forms properly or to answer a few questions.
TimeFiler was brought in to rectify this. As Lili said about her experience, TimeFiler was like working “with a blank canvas that you can make do what you want. Many systems don’t have flexibility, and a lot of software providers will say we don’t do this. TimeFiler does.”
This flexibility allowed Dominion Constructors to integrate TimeFiler with IMS and only a few years later to Datapay, with no loss of functionality. But the ‘flexibility’ refers to more than just the software’s functionality - the TimeFiler team, too, in Lili’s opinion, has proven very collaborative when it comes to taking on board requests. “I work a lot with Matt, and he’s very good at saying what we can and can’t do and finding another solution that works if we can’t”.
Another big change has been the creation of new efficiencies within the TimeFiler system around job costing. Instead of having spreadsheets with a folder hidden somewhere in the software, the TimeFiler system allows for an easily indexed record to look back and report on. Employees can easily report back on all jobs related to their working day, recording working data that tells a larger picture for Dominion Constructors and their growth plan. This, again, proved another selling point for the company when they came to consider a time and attendance system.
The setup
No rollout is complete without some disturbances, and TimeFiler proved a learning curve for those not used to electronic time-tracking to adapt. However, the changeover was made easy by having a number of video tutorials and educational tools, as well as setup support from TimeFiler itself. This also eventually reduced another ongoing cost for the company - printed payslips - which were eventually abandoned in lieu of electronic reminders and emails.
The TimeFiler experience
Dominion Constructors continues to leverage TimeFiler to streamline a wide range of workforce management tasks. Their team uses job costing, timesheet, and leave request functions to simplify payroll and project tracking. Employees can easily access payslips, import and extract data, and clock in and out using the TimeFiler QR Clock. For sites without QR Clock functionality, the Punch App provides a flexible alternative, ensuring seamless time tracking across all locations.
As Dominion Constructor’s Payroll Manager, Lili Welch has recommended TimeFiler to plenty of friends and colleagues. When asked why she prefers TimeFiler, Lili said that she loved the flexibility the software has, saying, “it’s a good equation for nice results”. Which, in the end, is the most important aspect of any system.
