An interview with Jo Smith, Toni Brown, and Ian Johnson; the TimeFiler co-founders who believed the world needed a better way to do timesheets. Twenty years later, they’re still leading the charge toward a seamless Timesheet-to-Payroll platform

Chapter 1: The origin

How did TimeFiler happen?

In late 2005, an APAC market research company found that they had been oversold a different company’s product capabilities, so the salesperson rang Toni and said can you help? And that's when TimeFiler's journey began. 

Like many early software startups, TimeFiler was born from a clear vision. Seeing how clunky traditional timesheet management was, the founders set out to build something better, a smarter online system to transform how businesses tracked employee time.

Their mission: to prove that paper timesheets were a thing of the past and position TimeFiler’s web-based platform as the future of time tracking.

Chapter 2: The early days

Our MVP (Minimum Viable Product)

Our first product looked nothing like today’s version. It was a basic web-based timesheet, no award calculations, no automation, just the essentials. The UI was so minimal it made a Nokia phone look high-tech. But hey, it was the pre-SaaS era; we had an excuse!

Our first customer: A lesson in persistence

Our first client was a massive APAC market research company and winning them over wasn’t easy. A small New Zealand startup handling their complex needs? Unlikely.

But we kept building. They kept saying no. We kept building anyway.

Eventually, we delivered a product they couldn’t refuse, and they said yes. We rolled out to 15 countries, managing it all online (thank you, Skype!) and often with users for whom English was a second language. That online-first approach made delivery faster, cheaper, and laid the foundation for our future SaaS model.

It helped that we knew how to work with enterprise clients. Companies like Hato Hone St John, Aviation Security New Zealand, and Tait Electronics gave us a shot as a “temporary solution.”

Two decades later, all of them are still with us. Turns out, we were the permanent solution all along.

 

Chapter 3: The big breakthroughs

Real-time award calculations = mind blown

One of our proudest achievements: real-time award calculations.

Every time someone entered their hours, pay calculations, warnings, and compliance checks updated instantly, like a spreadsheet, but smarter.

Most systems processed this stuff separately; we made it instant. But with great power came great complexity, so we built a business rules engine so intuitive that non-developers could use it. That’s our secret sauce, and it remains our biggest competitive edge today.

Users can see what will be paid before payroll even runs. And because Australia and New Zealand’s award rules are notoriously complex, our rules engine had to handle it all and evolve as regulations changed. Our years of experience with hundreds of EBAs, awards, and contracts made that possible.

The UI revamp: Keeping it fresh without breaking everything

Recently, we gave TimeFiler a complete visual overhaul. The new interface is sleek, modern, and faster, but here’s the kicker: we didn’t make customers reconfigure a thing or sit through retraining. That’s real innovation, user-friendly and disruption-free.

 

Chapter 4: Early Partnerships

In the early years, we were lucky to partner with some incredible companies, relationships that truly changed the game early on. Our first two partnerships were IMS Payroll and Fusion5. We have subsequently developed many other key partnerships since. Other partnerships include Alxemy, CostCon, Fieldforce4, Datacom and Access Coins.

The owner discovered TimeFiler through an article in the NBR and reached out. At the time, IMS had limited digital infrastructure, and we were able to step in and help. That partnership turned into one of our most successful collaborations ever.

Fusion5 (and the acquisition of Empower)

Our long-term partnership with Fusion5 has been equally rewarding. We supported their acquisition of Empower and JadeStar, and many of those customers later adopted TimeFiler.

Chapter 5: Culture & “Vibes”

Every. Single. Friday. Rain or shine, we share lunch together at noon.

Proper Christmas breaks

We don’t just take a few days off, we really unplug. (Thankfully, most companies have a break over this period, so after the pre-Christmas rush, it’s pure peace.). However we continue to provide support to our customers who work through the holiday period.

 

Chapter 6: The tough times 

Because it wasn’t all smooth sailing.

The Christchurch earthquakes: A scary plot twist

December 2010: our Cashel Mall office was red-stickered. Weeks later, it was flattened in the February 2011 quake. We quickly relocated, only to have to move again after the February shock.

By March, we landed in the office we still occupy today (though it’s since been beautifully renovated and expanded). In hindsight, that chaotic move turned out to be one of our best decisions.

The silver lining:

Our customers outside Christchurch never noticed an interruption, our service maintained 100% uptime throughout. Ironically, the quake also led to new business: the Earthquake Commission needed rapid workforce support, and we were ready to help.

The pandemic: Going remote

Running a timesheet company remotely? Easy, all you need is a laptop and Wi-Fi.

Watching our customers struggle? That was the hard part. Many businesses were hit hard, so we reduced licence fees for those most affected.

We adapted quickly, Friday lunches went online, meetings moved to Teams, and everyone kept their jobs.

Staying ahead of the curve

Two decades of tech evolution is no joke. When we started, mobile apps didn’t exist. Today, cybersecurity is a daily concern. Through it all, we’ve stayed one step ahead, modernising without ever forcing our customers to start from scratch.

 

Chapter 7: Looking back

Looking back, what are you most proud of?

Our co-founders have raised kids over these 20 years, while building a thriving company from scratch. Those early years were tough (especially with toddlers in tow!), but we made it through, together.

The next 20 years start now

We’ve always been a deeply technical team, building robust products that don’t require huge teams to maintain. But with 800+ customers across Australia and New Zealand, we’re now expanding to meet demand.
