The problem
ONB used to spend a significant amount of time manually entering and chasing up timesheets. Both managers and employees were spending too much time on their timesheets each week as opposed to focusing on productive work. Managing and tracking ongoing jobs was also more difficult. Time allocation allocated was only visible on a weekly basis.
This process meant that there was the possibility of an average of 15 minutes a day misallocated per staff member.
Clearly, something had to be done to move ONB beyond the handwritten timesheets and Excel documents that were causing the issues. By doing so, ONB also stood to gain greater returns on their projects with increased time management, more accurate job costings, and improved reporting metrics.


About ONB
ONB (O’Neill & Brown) Group is a commercial service subcontractor for the hydraulic, electrical, and fire services trades. They currently have multiple trading entities and divisions, including contractor-based commercial and residential work, services design, and a service division for post construction maintenance.
Over the last several years, ONB has experienced significant growth, which has changed its need for time and attendance management software. This latest growth stage led them to select TimeFiler to take care of their timesheet requirements.
Finding a solution
ONB originally trialled a competing product before being referred to TimeFiler by another company. Basic timesheet apps also proved unable to cope with the heavy demands ONB had, meaning more time wasted trying to figure out ways around the limited system features.

One issue with finding a suitable time and attendance software was its complex and diverse award structure. They need a system that has the flexibility to customise rules to accommodate their structure and is adaptable to exceptions.
Working alongside the ONB team, TimeFiler was able to break down costing into over hundreds of cost codes, depending on the job, team and service. This level of complexity required detailed scoping to tailor the jobs individually to TimeFiler — again, this was not something a basic timesheet app could achieve. This meant that jobs only had the right codes and availability to the correct resources and could then easily be selected. Integrations were built by TimeFiler to allow these codes to be automatically loaded and updated in line with the codes and project status with the ERP System. TimeFiler managing this process saves hundreds of hours of profitable time in the process.
Another key feature has been the ability to clock in and out using TimeFiler’s geofencing feature. This lets ONB more accurately monitor productivity levels and ensure WHSE (Workplace Health, Safety and Environment) requirements and compliance.
Submitting and reviewing leave can also be done more easily through TimeFiler, helping forecast upcoming rostered leave from team members who can sometimes float between managers.
Taken together, these features have saved as much as half an hour a day per manager. The dynamic ONB workforce can also switch between jobs and sites regularly with ease and take only a few simple screen taps to complete.

The setup
ONB first joined TimeFiler in 2020, with several pauses as they adjusted to the changes proposed. During the setup, TimeFiler scheduled weekly meetings to discuss any questions ONB had, taking the time to answer a lot of questions about the actual TimeFiler process.
Additional options were created for those employees without smartphones, but very soon, everyone in the company was transferring over to TimeFiler for easier time tracking. Project managers and supervisors at ONB started finding it easier to handle workloads, with employees more responsible for their timesheets.
Within just two weeks of launching on November 2023, ONB quickly realised that TimeFiler was able to deliver far more than initially expected, creating new efficiencies in payroll and onsite management.

Leave requests can be seen well in advance, meaning fewer disruptions or misunderstandings around the time taken.
